The opportunity:

As a Workplace Associate on the Workplace Singapore team, you’ll work closely with Workplace Manager and team to continuously ensure our workplace remains a great place to work, to collaborate, to innovate and to support all departments in the workplace. You will contribute to transforming our workplace for growth and keep it always aligned to our workplace values and passionate ambitions.

You will:

  • You will be the “happy face” of Flexport for all our employees and guests. Greeting them, checking them in, and connecting them with their host. You will be the first positive impression we make.
  • Be responsible for day-to-day workplace operations, provide an excellent level of service to our employees. 
  • Align with fellow asia and global workplace team on Workplace management processes.
  • Be accountable for maintaining smooth front desk operations by following the standard procedures and processes and raise discussion for improvements to achieve a pleasant and welcoming experience.
  • Be accessible to everyone, engage and interact with all employees with positivity and sincerity.
  • Manage local Workplace Jira ticketing system, promptly answer tickets, escalate and follow through as needed.
  • Coordinate with building management/workplace operators (input work orders, process requests, vendor registration, etc.)
  • Support workplace workstation setup, seating moves and office relocations and other miscellaneous workplace set ups.
  • Assist with office related special projects such as employees engagement activities.
  • Ensure we stay in compliance with existing regulations throughout the workplace and an ambassador of employee security (CTPAT compliance). Be the set of eyes on all things office, vendors, security, and facilities. 
  • Logistical events coordination (Engagement Activities, Office visits, VIP visits, etc)
  • Support day to day vendor management and communication.
  • Work and align with Workplace manager and local GM to support workplace culture goals.
  • Work closely with the Workplace Manager to ensure all office and pantry supplies are ordered and stocked at all times.
  • Give feedbacks on a regular basis about employee and management satisfaction of our workplace environment.

You should have:

  • Singapore citizenship and Permanent Residents are required
  • Reinforce the highest standards integrity and ethics
  • A BS/BA degree is and/or comparable experience required.
  • Up to 1-year of administrative/ office experience, ideally in a high-growth environment
  • Experience in setting up new offices is a plus
  • Potential to work collaboratively across departments within a complex organization
  • A structured and organized approach towards your work
  • A strong sense of urgency and personal accountability
  • You see a problem and come armed with a solution
  • Strong communication skills
  • The ability to learn new skills and concepts quickly in a fast paced environment that is constantly evolving
  • Exceptional organizational, prioritization and planning skills -- knowing when you focus on the details but also zooming out to assess the big picture view
  • A strategic thinking mindset and ability to execute on the front-lines
  • Empathy towards the end-client & an emphasis on service excellence
  • A "compliance first" attitude to keep our regulators happy and enthusiastic about Flexport since we operate in a heavily regulated industry.
