Job Description:

HelloFresh is seeking an analytically minded, organized, and customer centric individual to handle the day-to-day oversight and support of our US benefits, and immigration programs. Whether it's providing support/guidance on overall benefits administration including assisting in coordination and implementation of benefits-related projects, you will assist in maintaining compliance to all company policies, local, state and government regulations. The Associate, Benefits & Immigration will lead reconciliation review of monthly invoices and 401(k) and benefit deductions, and coordinate the administration of leaves of absence.  You will work with the team to help coordinate the securing of an employee’s visa including assisting in partnering with external counsel, talent acquisition, and HRBPs to communicate clearly and effectively on visa expiration dates, filing deadlines, immigration benefits, government procedures, and case processing timelines. You work with tools, teams, systems, vendors, and resources needed to create a stellar experience for our employees.  You ensure the secure, timely, high-quality, and accurate oversight of our Total Rewards program and will leverage ADP and other resources to track payroll, compensation, benefits, and general HR compliance/reporting for the organization. Proactively reaches out to stakeholders on fulfilling compliance obligations relating to the above. The ideal candidate will use their organizational skills, collaborative work approach,  and analytical mind to maintain, enhance, and administer accurately Total Rewards policies, initiatives, communications, and data.

You will...

  • Partner with direct colleagues and stakeholders for program assistance for our US Total Rewards Programs (benefits & immigration)
  • Execute employee & program information collection, analysis, and reporting
  • Thrive in a Zero-Error culture—where processes are strived to be executed correctly, the first time and if not, quickly identify how to avoid error in the future and modify process accordingly
  • Support the design, build, and measure of operational excellence with our benefit and immigration programs  with an analytical mind focused on process, efficiency, and accuracy
  • Cross collaborate with Total Rewards sub-teams to ensure seamless program completion
  • Serve as a department’s liaison to all US locations, as well, by being a key point of contact for projects and communications related to benefits and immigration
  • Act as liaison between external counsel and employees to resolve employee inquiries, assisting in the preparation and maintenance of Public Access Files, PERM files, and other immigration-related compliance documentation
  • Work with the HRBP and  L&OD departments on total rewards  communications around benefit and immigaration policies and procedures across the US organization in partnership with employee relations and legal teams
  • Assist in the execution of ad hoc projects, such as: partner with other People teams to launch performance management & engagement tools, support transition to new benefits programs, compliance audits, employee handbook maintenance, etc.
  • Work with a variety of systems designed to meet the needs of the People functions with predefined processes
  • Ensure legal compliance by implementing applicable human resource federal and state requirements; reporting and maintaining records, ensuring execution of necessary filings, among other activities.

At a minimum, you have...

  • A Bachelor’s Degree in Finance, Business, Human Resources, Management Information Systems, related field or equivalent experience
  • Expert Excel skills; experience with Microsoft Access a plus
  • A strong interest in having a long-term career in Benefits, Immigration, or People Operations
  • Strong attention to detail and high sense of urgency for critical timelines
  • 1-2 years working on Total Rewards programs in a multi-site environment - base pay, bonus, medical, 401(k), visa procurement, etc.
