The Manhattan office of Marcus & Millichap is seeking an experienced Administrative Assistant. We are looking for a bright individual interested in advancing their career by joining a successful and growing commercial real estate firm.  Potential candidates should have a professional demeanor, strong written, verbal, and mathematical skills as well as good phone manners. Attention to detail and ability to multi-task is essential. In addition, basic marketing skills is a plus. Candidate should be comfortable working in a fast-paced, corporate sales environment.  

Responsibilities

  • Draft and prepare correspondence, memos, and other documents  
  • Proofreading of correspondence, contracts, presentations and marketing materials, and additional minimal marketing support.
  • Maintain calendar and coordinate meetings, events & seminars.  
  • Monthly Expenses 
  • Support with document preparation, including formatting and editing letters, preparing and/or editing PowerPoint Presentations and marketing packages/proposals and managing other correspondence from the draft to delivery stages.  Ability to review finished material for completeness, accuracy, clarity and format.
  • Answer phones
  • Expertise in coordinating complex travel arrangements (air, hotel, car, etc.) with and without travel agency assistance
  • Assist with recruiting and on-boarding of new hires
  • Assist with preparation of reporting, creation of retention and training materials and processes
  • Assist with planning travel, meetings, conferences and activity reviews

  • Job Requirements:

  • College Degree preferred
  • Must have at least 3+ years Executive Assistant experience
  • High aptitude for Microsoft Word, PowerPoint, and other Microsoft Applications
  • Experience working with InDesign in a professional setting is a plus
  • Prior Real Estate/Mortgage Experience is a plus 
  • Must be self-confident, self-directed and collaborative
  • Great grammar, spelling, proofreading skills required
  • Must have a minimum of 2 – 5 years of experience in an administrative support role
  • Extraordinary attention to detail 
  • Flexibility to work overtime, if needed
