The Administrative Assistant role, known within our firm as Brokerage Administrator is a non-exempt position that reports directly to the Operations Manager.  The Brokerage Administrator divides their time between training and brokerage responsibilities. 

Responsibilities:

  • Training and support to new agents, agent assistants, staff and management.
  • In-office coordination for firm-wide technology/similar launches.
  • Brokerage administration and transactional tasks.
  • Full-time phones/front office support.
  • Process new property listings, this may include: proofing and editing according to company standards
  • Aptitude and desire to cross train in marketing including Adobe InDesign, Photoshop, etc. and ability to provide support with creative projects.
  • Generate, copy, scan and bind documents for use by management and agents.
  • Assist in maintaining cleanliness of staff area, kitchen etc., as well as with the stocking of supplies and the basic maintenance of copiers and other office machines.
  • Undertake company provided training to progress to the role of ‘Certified Agent Support Specialist’.
  • Requirements:

  • Strong computer skills including MS Word, Excel, PowerPoint, and Outlook
  • Strong editing skills, i.e., spelling, grammar, punctuation
  • Previous experience in a training, coaching or teaching preferred
  • Professional appearance and demeanor
  • Reliable and punctual 
  • Professional phone and customer service etiquette 
  • Possess a friendly, proactive attitude and a strong desire to learn and progress within the firm, including participation in company provided ‘Certified Agent Support Specialist’ training program.
  • 2+ years administrative experience
  • Minimum Education: High School Diploma/equivalent
  • Paying up to $20.00 per hour
