The Marcus & Millichap Phoenix Office is looking for a Part-Time Administrative Assistant to provide professional support to one of its top investment sales teams.  This entry level position will provide support to a large, fast paced team in a busy brokerage office.
This is a unique opportunity to join a senior investment sales team with one of the nation’s largest commercial real estate investment brokerages specializing in single-tenant and multi-tenant investment sales.

Candidates must be organized and detail-oriented. It is essential that the candidate be proficient in all Microsoft Office applications, have a professional demeanor, strong written, verbal and mathematical skills as well as a good telephone manner.  Attention to detail and the ability to multitask are also essential.  The Administrative Assistant will provide support in data entry, marketing collateral, and general administrative duties.

Administrative Responsibilities

  • Maintain listing and transaction files
  • Data entry of all listing activities including new activations, reactivations, removals, under contract and closed,
  • Data entry and proofreading
  • Continually prioritize and re-prioritize Agent work requests and follow up with staff members and Agent to ensure timely completion and delivery
  • Ensure timely data entry of all new activity on listings
  • Providing support in preparation of marketing packages
  • Assist maintaining listing information on web based platforms
  • Obtain required approvals/initials on documents
  • Required Knowledge and/or Experience

  • Strong knowledge of MS Office required
  • Excellent interpersonal and communication skills with people of all personality types
  • Ability to maintain strict confidentiality
  • Self-motivated, detail oriented, strong organizational skills
  • Ability to prioritize multiple projects
  • Strong organizational skills, ability to manage multiple priorities and ability to take independent initiative for action within areas of responsibility.
  • Prior administrative experience preferred, but not required
