Transaction Coordinator needed for a top producing National Retail agent in the Philadelphia Pennsylvania Office of Marcus & Millichap.  We are looking for a bright individual interested in advancing their career by joining a successful and growing commercial real estate brokerage team.  Potential candidates should have a professional demeanor, strong written, verbal, and mathematical skills as well as good phone manner. Attention to detail and ability to multi-task is essential. Candidate should be comfortable working in a busy, corporate sales environment.  


Responsibilities

  • Transaction Management: manage transactions from start to finish (manage confidentiality agreements, compile bid matrices, utilize due diligence management website, manage flow and reconciliation of due diligence from BOV, Listing, and Under Contract process
  • Gain a full knowledge of Marcus & Millichap contracts and their proper use 
  • Work with escrow or attorneys to move the transaction forward by generating the appropriate contracts as directed by Senior Agent
  • Follow up with buyer and seller during the due diligence period obtaining necessary documents and signatures
  • Perform constant follow up with escrow or attorneys to get all documents completed by contract due dates
  • Read through and double-check to ensure all contracts are complete and fully executed and are in compliance with Marcus & Millichap policies before moving them to the next party or file
  • Read all non-Marcus & Millichap contracts to ensure compliance with Marcus & Millichap policies
  • Coordinate financing through MMCC or other lenders 
  • Use Liaison to communicate and share documents with buyer and seller
  • Keep organized, complete transaction files in accordance with state DRE requirements 
  • Forward fully executed, closing documents required by Marcus & Millichap to the team Marketing Coordinator or staff to ensure timely commission payment to Sr. Agent
  • Keep all emails associated with every transaction and print to file
  • Function in Team Leadership / Oversight capacity: Organize weekly activities of team to ensure that all work is competed according to scheduled deadlines with attention to quality standards, priorities and overall goals
  • Maintain an accurate team calendar consolidating all deadlines for production of proposals, property marketing material, essential transaction deadlines, etc., and keep relevant team members aware of all pending deadlines.
  • In slower times, assist Sr. Agent staff team with administrative tasks 
  • Required Knowledge and/or Experience

  • Bachelor's Degree (BA/BS) from a 4-year college or university 
  • Previous escrow/transaction experience, and 2+ years of previous Real Estate knowledge
  • Demonstrated experience as a user of a CRM or Contact Management System such as Salesforce, APTO, ACT, Zoho, Sage, REA, etc. strongly preferred.
  • Strong organizational skills and attention to detail imperative
  • Previous understanding of transaction process and brokerage continuum
  • Knowledge of financial terms and principles, with the ability to calculate intermediate figures such as percentages, discounts and/or commissions. Comfortable conducting basic financial analysis, and familiarity with abstracting leases, a plus
  • Self-motivated with an ability to prioritize, manage multiple tasks, and meet stringent deadlines
