Head of Real Estate and Workplace Strategy will be responsible for managing Okta’s growing portfolio, as we continue to transition to Dynamic Work.  You’ll work closely with the SVP of Global Workplace to formulate a long-term portfolio strategy that is aligned with our talent acquisition and GTM strategy.  The person in this role will also be responsible for re-thinking the requirements for acquiring space.  Along with strategic work, you’ll be driving many of the transactional work with leases.  Along with lease transaction management, deal side work and analysis, it’s imperative to ensure the accuracy of the data within our systems.

Responsibilities: 

  • Work with global workplace team on acquiring space in AMER, EMEA and APAC regions, driving real estate and workplace solutions within the framework of the global business and real estate strategies:
  • Own planning and execution of real estate portfolio management strategy including requirements gathering, financial analysis, lease negotiations/transactions and executive approval.
  • Manage the overall Workplace department budget including monthly and quarterly reconciliations with Finance and Accounting teams and annual planning process.
  • Create and maintain data warehouse feeding a dashboard of all workplace related metrics for senior leadership review
  • Own rent roll payments, audits and management of subleased properties working with landlords, property managers, and subtenants to update and correct any inaccurate data.
  • Assist in the resolution of day to day issues and questions from landlords, AP/AR, business units, Account Managers, Controllership, Design & Delivery, Operations, and other stakeholders
  • Effectively communicate expectations, requirements and status of deals to key business partners - both internal and external.
  • Lead multi-department cross functional efforts on accurate and timely workforce planning and long term workplace road map.
  • Create and execute non-office employee flexible work space support program.

Experience:

  • At least 8-10 years of work experience related to:
  • Deal management in commercial real estate with deals greater than 500k sq ft in size
  • Experience building and leveraging a network of investors, developers, contractors, consultants, brokers and attorneys as resources in maintaining deal flow
  • Experience developing and implementing process improvements to streamline the full transactions delivery system.
  • A demonstrated understanding of accounting processes, procedures and internal controls and the elements of real estate legal documents
  • Detail oriented, organized and able to work in a team environment
  • Basic familiarity of real estate finance principles, GAAP and FASB
  • Experience with industry standard databases used in a corporate real estate setting
  • Strong organizational skills
  • Strong written and verbal communication skills
  • Detail oriented with the ability to analyze data and make recommendations
  • Interpersonal skills, including the ability to build relationships with clients, partners and peers
  • Proficiency with Microsoft Office Suite, particularly Excel, as well as accounting, lease administration and/or facility/property management systems and reporting
  • Experience building and leveraging a network of investors, developers, contractors, consultants, , brokers and attorneys as resources in maintaining deal flow
  • Experience developing and implementing process improvements to streamline the full transactions delivery system.
