Job Description:

Okta is seeking a Workplace Site/Office Manager to join our Workplace Services team in Japan! 

This role covers a diverse range of responsibilities and is focused on owning and managing workplace operations for our Tokyo office.

This person will be a strong culture ambassador and bring a customer centric approach to work each day. Candidates must be able to work independently with minimal on-site supervision, be able to manage multiple projects in a fast-paced environment and have excellent written and verbal communication skills. This role is people-fronting, multi-faceted, dynamic, and engaging; an upbeat, positive attitude is a must.

What you’ll do:

  • Manage workplace operations for the Tokyo office and oversee delivery of workplace programs and service: facilities maintenance, health and safety, physical security, food and beverage programs, space planning, janitorial services and work from home programs.
  • Support the global Employee Experience team to build and deliver an effective employee experience program in Japan.
  • Maintain and influence effective relationships with leadership and stakeholders throughout the organization and effectively work cross functionally.
  • Lead communication efforts and represent Workplace in Japan.
  • Actively assess the pulse of the office by engaging with employees and share insights and data with workplace leadership.
  • Work with workplace leadership and Finance to manage expenses to budget, and for invoice, PR and PO related inquiries.
  • Identify, negotiate, and manage local vendor relationships and address service concerns through timely feedback and performance reviews.
  • Provide operational support to the PM team for Japan based construction projects.
  • Maintain a working relationship with building property management and/or community team.

Required skills:

  • 6+ years of direct experience (or 10+ years of comparable experience) managing fast-paced offices or professional work environments.
  • Solutions focused with strong organizational, analytical and problem-solving skills
  • Excellent written, verbal communication skills
  • Possess a service-oriented mindset and excellent hospitality skills
  • Strong team player with experience working with leadership and global teams
  • Understand compliance, local government nuances and regulations as it relates to Workplace
