OFFICE ADMINISTRATIVE ASSISTANT (SWARM)

As an Office Administrative Assistant, you will work closely with our HR & Operations Manager and Office Manager to help streamline office operations at our headquarters in Mountain View. You’ll help with a wide cross-section of items ranging from packing and shipping to event support. We are a small, scrappy team that moves quickly and takes calculated risks. We work in a fast-paced environment, with a supportive and collaborative culture that helps us achieve our goals. You will wear many hats and have a major impact within the company.

RESPONSIBILITIES:

  • Assist with product packaging and domestic/international shipping efforts from within the Swarm lab.
  • Help keep the office and lab organized by fielding and sorting deliveries, as well as ordering and organizing office supplies.
  • Assist with various accounting tasks; help categorize expenses in accounting software, generate and issue purchase orders, and create quarterly use tax reports.
  • Support the operations team in a variety of ad-hoc projects, including but not limited to: office organization, inventory management, recruiting coordination, visitor preparations, event setup/cleanup, etc.
  • Help maintain a healthy and productive culture!

BASIC QUALIFICATIONS:

  • Associate degree.
  • 1+ year of professional experience in an office support or administrative function.

PREFERRED SKILLS AND EXPERIENCE:

  • 1+ year of experience working in an operational role in an office, lab, warehouse, or other physical facility.
  •  Strong computer literacy with programs such as Microsoft Office Suite products Excel, Word, and PowerPoint.
  • Possess a positive attitude and ability to remain flexible in an ever-changing environment.
  • Ability to multitask and prioritize, with a strong work ethic and attention to detail.
  • Excellent customer service, interpersonal, and teamwork skills.
  • Strong problem-solving skills and enthusiasm for new tasks and challenges.
  • Experience with worldwide packaging and shipping.
  • Experience using database computer applications, like application tracking systems, purchasing systems, etc.

ITAR REQUIREMENTS:

  • To conform to U.S. Government space technology export regulations, including the International Traffic in Arms Regulations (ITAR) you must be a U.S. citizen, lawful permanent resident of the U.S., protected individual as defined by 8 U.S.C. 1324b(a)(3), or eligible to obtain the required authorizations from the U.S. Department of State.
