Lease Administrator 

This is an exciting opportunity to join Wayfair’s Real Estate team and play an impactful role supporting Wayfair’s rapidly growing global real estate portfolio consisting of over 23 million square feet across industrial, office and retail property types. The Lease Administrator will be responsible for the day-to-day functions of lease administration, including but not limited to, lease abstraction, database management, rent billings, estoppel preparation, CAM and OpEx reconciliations / audits, etc. 

 

What you’ll do:

 

  • Abstract new leases, amendments and all other lease related documents and enter information into Visual Lease, Wayfair’s lease administration software 
  • Maintain the accuracy of all lease information in Visual Lease including abstracts, financial information, lease documents and contacts 
  • Review and distribute leases and exhibits to proper parties
  • Track and maintain lease expirations, renewal options and all critical dates and review such data with the Real Estate team regularly
  • Process monthly rent roll and coordinate directly with property management on all payment related inquiries
  • Coordinate with Accounting and Financial Operations to ensure rent is paid in a timely manner and any out of period expenses are accounted for appropriately 
  • Assist with developing Accounting/forecast estimates for Real Estate Tax and CAM reconciliations
  • Work with property management to audit operating expense billing both estimated prepayments and reconciliation to ensure accuracy
  • Respond to all landlord billing/lease inquiries and correspondence
  • Collect subtenant rent and bill for CAM reimbursements as required by leases
  • Communicate and create reports as requested by Real Estate, Legal, Facilities and other departments as required
  • Oversee and track the collection of all Tenant Improvement Allowances and Reimbursements 
  • Maintain letter of credit schedules, including issuance of new LCs and LC reductions/escalations
  • Work on special projects that may arise within the Lease Administration department

 

What you’ll need:

 

  • A minimum of 5 years of lease administration or paralegal experience focused on commercial real estate leasing 
  • Associates, Bachelor’s degree or Paralegal Certificate preferred
  • Must have strong ability to interpret complex commercial lease language, related real estate documentation and have general property accounting knowledge 
  • Ability to prioritize, multi-task and maintain flexibility in a fast-paced environment
  • Strong organizational and follow up skills, as well as interpersonal and written/verbal communication skills
  • Team player with the ability to problem solve
  • Excellent computer skills, including proficiency with Excel, Google Workspace and lease administration software
