Code and Theory is seeking a systems-focused Operations Manager to join our dynamic team and drive data-driven decision making across multiple departments. This mid-level position is centered around working with operational systems to create comprehensive reports and partnering with our resourcing team to optimize capacity and utilization.
The ideal candidate will be a data expert who thrives in agency management systems and business intelligence platforms, transforming raw operational data into actionable insights that support strategic decision-making across creative, strategy, account management, and production teams.
WHAT YOU'LL DO
- Design, build, and maintain comprehensive reports using agency management systems and business intelligence tools
- Work with various operational systems to extract, analyze, and present data for leadership decision-making
- Create automated reporting dashboards that track key performance indicators across departments
- Ensure data accuracy and integrity across all reporting systems and platforms
- Develop custom reports to support specific departmental and client needs
- Partner closely with the resourcing team to monitor and optimize capacity planning across all departments
- Analyze utilization rates and resource allocation to identify opportunities for improved efficiency
- Create reports that track team availability, project pipeline, and resource forecasting
- Support strategic workforce planning through data-driven insights and recommendations
- Monitor and report on project profitability and resource optimization metrics
- Collaborate with department heads to understand reporting needs and system requirements
- Facilitate data flow between creative, strategy, technology, and production teams through integrated systems
- Act as a systems liaison to resolve data discrepancies and ensure consistent reporting across teams
- Analyze operational data to identify trends, bottlenecks, and improvement opportunities
- Monitor and report on process improvements and their measurable impact
- Support the rollout of new systems and reporting tools across departments
- Create and maintain documentation for reporting procedures and system workflows
- Prepare executive-level reports and presentations for leadership team
- Support budget planning and forecasting through comprehensive data analysis
- Track and analyze client delivery metrics, profitability, and operational efficiency
- Provide actionable insights that drive strategic decision-making across the organization
WHAT YOU'LL NEED
- Bachelor's degree in Operations Management, Business Administration, or related field
- 3-5 years of operations experience, preferably in an agency, creative, or professional services environment
- Strong project management skills with experience using project management tools
- Excellent communication and interpersonal skills with the ability to work effectively across all organizational levels
- Analytical mindset with proficiency in data analysis and reporting
- Experience with process improvement methodologies and change management
- Proficiency in Google Workspace, Microsoft Office Suite, and operational software platforms
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities in a fast-paced environment
