IT Business Coordinator 

Job Summary:

The IT Business Coordinator responsibilities require independent judgment, initiative, and executive intuition in supporting the needs of the CIO and the Technology Leadership Team. The position requires a high degree of flexibility and adaptability to balance the diverse needs of employees, management and the business. Prioritizing, scheduling, and implementing all tasks with a sense of urgency is crucial for this role. Meeting timelines and deliverables while maintaining a high level of confidentiality and ethics are keys to success. This role requires someone skilled in administrative assistant tasks who is ready to take on more responsibilities by stepping into a business coordination and project coordinator role. 

Essential Functions, Job Duties & Responsibilities:

The role consists of three separate functions:

  • Assisting the CIO (30%)
  • Business Coordination for technology leadership and the wider technology team (40%)
  • Project coordination for specific IT functions (30%)

Further explanation of each job duty is provided below:

  • Assisting CIO:
    • Proactively manage the CIO’s calendar
    • Per the CIO’s direction, set up meetings that work for the schedules of all required participants
    • Coordinate all logistics (meeting material, venue, duration, participants) for large meetings such as town halls
    • Format and edit meeting materials and presentations as requested for different target audiences
    • Create organizational charts using MS Visio
    • Handle confidential and time-sensitive information;
    • Take meeting notes for IT leadership meetings as requested
  • Technology Business Coordination:
    • Assist Technology Leadership in refreshing/updating technology strategy and roadmap documentation
    • Assist in building and tracking budget on a monthly basis for each area within Technology group
    • Coordinate with talent acquisition teams on scheduling candidate interviews
    • Order office supplies for the team as needed
    • Coordinate food deliveries as needed for teams and meetings
    • Act as liaison for technology staff that have general office or ECP-related questions
    • Coordinate with the CIO and IT leaders to create onboarding meeting schedule and welcome packet for new IT hires at the director level and above
    • Assist with other duties as directed by management
  • Project Coordination:
    • Coordinate projects involving senior technology leadership members
    • At CIO’s direction, manage action items and deliverables for technology senior management
    • Assist the PMO by performing project coordination tasks as directed for various technology projects

Education & Experience:

  • Associate degree
  • 4 years of related experience
  • Must have experience supporting senior level management
  • Proficiency with MS Office applications, as well as outstanding organizational skills and interpersonal skills.
