Greenhouse is looking for an Executive Operations Manager based in the Eastern Time Zone to join our team!

Reporting directly to our Chief People Officer, you’ll be a trusted partner to multiple members of our Executive Leadership Team (ELT). You’ll align top strategic priorities with daily execution, lead special projects, and ensure seamless coordination of schedules, meetings, and travel. What you’ll do

  • Represent the ELT with professionalism in interactions with internal and external stakeholders, including customers, vendors, and staff.
  • Manage the ELT’s operating rhythm: facilitate meeting agendas, schedule and coordinate executive offsites, and ensure strong follow-through on shared goals.
  • Proactively manage executive calendars and communications (including email, if requested), always looking ahead to optimize time and focus.
  • Plan and execute leadership events (e.g., executive offsites, board-level meetings, customer dinners).
  • Coordinate complex domestic and international travel, including detailed itineraries and timely expense reporting.
  • Act as a trusted liaison, making operational decisions, gathering key information, and driving forward cross-functional initiatives.
  • Identify and implement process improvements that enhance efficiency and clarity for the ELT.
  • Uphold the highest standards of integrity, discretion, and follow-through.

You should have

  • 5+ years of demonstrated experience supporting multiple senior executives with a high standard of professionalism and discretion
  • 1+ years of experience managing scheduling or logistics for boards or committees
  • Experience with high-volume scheduling and coordination-based work
  • Experience planning and executing in-person leadership events, such as executive offsites, board-level meetings, or customer-facing events
  • Strong track record of calendar management, meeting coordination, and event planning
  • Experience managing executive offsites, customer dinners, and leadership events
  • Proficiency in GSuite (Slides, Docs, Calendar), Zoom, and Slack
  • Accurate expense management
  • Sharp time management and prioritization skills with a strong sense of urgency
  • Excellent discretion, judgment, and emotional intelligence
  • Grace under pressure and the ability to adapt in real time

The national pay range for this role is $88,000 - $104,000. Individual compensation will be commensurate with the candidate's experience and qualifications. Certain roles may be eligible for additional compensation, including stock option awards, bonuses, and merit increases. Additionally, certain roles have the opportunity to receive sales commissions that are based on the terms of the sales commission plan applicable to the role.

Greenhouse provides a variety of benefits to employees, including medical, dental, and vision insurance, basic life insurance, mental health resources, financial wellness benefits, and a fully paid parental leave program. For US-based employees, we offer short-term and long-term disability coverage, a 401(k) plan and company match. U.S. based employees also receive, per calendar year, up to 13 scheduled paid holidays and up to 80 hours of paid sick leave. Non-exempt employees accrue up to 20-25 days of paid vacation time, depending on tenure, and exempt employees have flexible time off (FTO).
