The organizers of the World Baseball Classic are looking for highly motivated candidates with a tireless work ethic to fulfill the role of Coordinator, Team Operations for the 2026 World Baseball Classic. The Team Coordinator will serve as the key liaison between World Baseball Classic, Inc. (WBCI) and an assigned Team, orchestrating a range of operational, logistical, and strategic responsibilities to ensure the seamless execution of tournament-related initiatives. This role demands a highly organized, proactive individual who can effectively collaborate across departments and with external stakeholders, facilitating smooth preparation, coordination, and support throughout the tournament lifecycle.
This is an in-office based position in New York, New York at the WBCI offices. All candidates will be required to travel to the tournament location with their assigned Team.
Responsibilities
- Establish and maintain clear channels of communication between WBCI, Team representatives, and key departments, ensuring alignment on objectives, schedules, and logistical arrangements
- Confirm and manage the Official Team Delegation, which includes players, coaching staff, federation officials, and accompanying guests, ensuring all necessary travel documentation, such as passports and visas, are secured for each delegate
- Support the Team Travel Manager in all travel-related arrangements, including commercial and charter air travel, ground transportation, and hotel accommodations, with attention to detail on rooming lists, team office arrangements, and additional support requirements
- Develop and disseminate a comprehensive day-by-day schedule for the Team, coordinating closely with team representatives to align on activities, venues, and any scheduled appearances or engagements
- Handle roster management activities, including the collection and distribution of player and staff agreements, coordination of roster availability and player movement, and collaboration with the Venue Manager on workout schedules and team logistics
- Administer team ticketing needs, working with the Team Travel Manager to manage allocations, assignments, and purchase requests for players, staff, and federation officials
- Maintain consistent, real-time updates on hotel and ticketing requirements throughout the tournament, adapting as needed to meet team and event demands
- Support the Travel Manager in coordinating return travel logistics for all team personnel post-tournament, ensuring a streamlined departure process
- Compile a detailed account of all Team-related expenses and costs following the tournament, ensuring accurate documentation and financial reconciliation
- Facilitate efficient flow and follow-up of documentation between WBCI, Team representatives, and tournament departments, reinforcing deadlines, milestones, and task completion
- Support broader organizational goals, including international and domestic marketing initiatives, enhancing brand presence and event impact for the World Baseball Classic and the assigned Team
Qualifications & Skills
- Minimum of 3 years in team operations, event coordination, or a similar role within sports management, preferably with experience in international events or baseball operations
- High attention to detail to ensure all operational aspects (e.g., roster management, documentation, schedules) are handled with precision
- Excellent verbal and written communication skills with the ability to build strong relationships with internal teams, external partners, and international stakeholders
- Ability to coordinate complex logistics, including travel arrangements, accommodation planning, scheduling, and on-site team support for large-scale events
- Skilled in resolving last-minute changes or issues in a high-stakes environment, with the capacity to adapt and make sound decisions under pressure
- Experience working with diverse, multicultural teams and understanding the nuances of international travel, customs, and regulations
- Fluency in English, with proficiency in a secondary language such as Spanish, Mandarin, Italian, Dutch or Czech preferred
- Ability and willingness to travel domestically and internationally as needed, including potential extended travel during the tournament
- Familiarity with baseball rules, terminology, and organizational structure; experience working within Major League Baseball (MLB) or with affiliated organizations is a plus
- Position may require ability to be on your feet for long periods of time, and/or lift large, heavy boxes upwards of 40lbs
- Bachelor’s degree in Sports Management, Event Management, Business Administration, or a related field, or equivalent work experience

Pay Rate: $65,000
