The Facilities and Technology Coordinator will provide maintenance and operations support pertaining to computer usage, equipment and supplies, as well as myriad occupancy services.  Additionally, the FT Coordinator will proactively develop and maintain agent relationships ensuring that expected service levels are achieved. This position reports to the Operations Manager  

Essential Functions:

  • Undertake company provided training to progress to the role of ‘Certified Agent Support Specialist’. 
  • Deliver computer application  training to new users and in support of ongoing application enhancements 
  • Set up new users’ computer systems based on our firm’s requirements, and ensure connectivity to printers 
  • Conduct daily walk-throughs to ensure clean and organized office. 
  • Respond to all work orders in a timely manner, ensuring compliance and excellent customer service. 
  • Identify opportunities for improved operation and service excellence, making recommendations for site improvements and assessments to ensure all building procedures and performance measures are always maintained for the provision of a safe workplace. 
  • Schedule and manage repairs and maintenance, minor works and other work requests, tracking to completion. 
  • Provide information and direction to vendors, staff and other service providers as required to ensure excellent coordination and execution of work, with minimal disruption. 
  • Assist in the procurement of vendors and services as required. 
  • Coordinate the delivery of site amenities which may include food services, support inter-office moves as required and act as the site key point of contact. 
  • Provide coordination to support events, meetings and conference facilities as required. 
  • Other duties that may include but are not limited to reception and guest support, mail and courier services, office supplies and equipment maintenance, landlord relations and management of building access passes, safety and security support. 
  • Update and maintain accurate records and official documentation for the site including certificates of insurance, floor plans, any other activities to support M&M and/or operations, including, but not limited to  moves/reconfigurations, events, reception, and building operations. 
  • Education and Experience:

  • Associates Degree or equivalent training and experience.  
  • Proficient knowledge of MS Office environment. 
  • Ability to conduct a training classes on company programs and procedures 
  • Minimum 2 years of prior experience in facilities, property management, hospitality or related field preferred. 
  • Able to establish and maintain effective working relationships and exhibit excellent “customer first” approach in a fast-paced environment. 
  • Able to lift and/or carry up to 35 pounds. 
  • Strong organizational skills and attention to detail. 
  • Excellent communication skills (email, phone and face-to-face).  
  • Must be self-motivated, amendable to a variety of work projects and work efficiently both independently or as part of a team.  
  • Able to think creatively, provide innovative contributions and apply collaborative problem-solving skills.
