The Marketing Administrative Assistant role, known within our firm as Brokerage Administrator is a non-exempt position that reports directly to the Operations Manager. The Marketing Administrative Assistant/Brokerage Administrator divides their time between marketing relating tasks and brokerage responsibilities. 

Responsibilties:

  • Become skilled in the use of our firm’s research, technology and marketing tools
  • Learn M&M’s approved methods for generating and circulating press releases and other promotional materials utilizing the M&M editorial style guide and branding
  • Graphic design services to include the production of marketing/related materials utilizing M&M’s proprietary software (MNET-Offering) and standard software such as InDesign and Photoshop
  • Brokerage administration and transactional tasks (new listings, under contracts, change requests and closings)
  • Back-up support phones/front office
  • Generate, copy, scan and bind documents for use by management and agents
  • Assist in maintaining cleanliness of office suite, kitchen etc., as well as with the stocking of supplies and the basic maintenance of copiers and other office machines
  • Undertake company provided training to progress to the role of ‘Certified Agent Support Specialist’ within the first year
  • Requirements:

  • Strong computer skills including InDesign, Photo Shop, MS Word, Excel, PowerPoint, and Outlook
  • Strong editing skills, i.e., spelling, grammar, punctuation
  • Professional appearance and demeanor
  • Reliable and punctual 
  • Professional phone and customer service etiquette 
  • Possess a friendly, proactive attitude and a strong desire to learn and progress within the firm, including participation in company provided ‘Certified Agent Support Specialist’ training program within the first twelve months of employment
  • 2+ years administrative/marketing experience
  • Minimum Education: High School Diploma/equivalent
