Come join the MongoDB Technical Services team and help us run our internal events smoothly, efficiently, and predictably!  We are looking for who can help us drive excellence and efficiency in our budgeting, scheduling, and booking of internal events.

We are looking to speak to candidates who are based in Sao Paolo, Brazil or Gurgaon, India office  for our hybrid working model.

Role Responsibilities

  • Collaborate with the Technical Services leadership and staff to ensure integrated worldwide processes for our event planning

  • Organize global and regional events, including leadership conferences, team off-sites, cross-functional summits, and training events

  • Work with internal stakeholders to build budgets, agendas, and travel itineraries 

  • Find optimal location and date windows; schedule travel & lodging and facilitate visa application processes 

  • Collaborate with the MongoDB travel team to influence and develop policies; train TS members in travel procedures

  • Manage expenses and risks, and ensure policies and processes are well-documented, communicated and followed

  • As part of the Support Operations team, work with the Operations Specialists to ensure 24/7 global support for customers by scheduling TS team members into various global shifts

  • Leverage reporting and analytics to facilitate review of policy and process effects

  • Advocate for and drive major initiatives that help our global team connect and work more efficiently together

  • Communicate with all levels in the company including senior management

  • Occasional international travel is required (1-2 times per year, only as conditions safely permit)

Qualifications

  • Bachelor’s degree or equivalent work experience

  • 1+ years of relevant event management and/or travel coordination experience

  • A passion for process and policy development and adherence

  • Proven ability to stick to budgets and make fiscally responsible decisions

  • Excellent written and oral communication skills, follow-through and problem-solving abilities 

  • Extreme attention to detail and ability to anticipate next steps

  • Able to work in a fast-paced, rapidly growing environment against tight deadlines when required

  • Strong operational analysis and cross-group collaboration skills

  • Experience with relevant tools including travel booking systems (Navan preferred), expense systems (Concur preferred), and task management software (Atlassian / Jira preferred)
