The Role
The People Operations Administrative Coordinator is part of our growing shared services Hub in Manila. Supporting the programs, processes and services of the Global HR function, this role will be responsible for providing administrative support for a wide range of Global HR programs, including the execution of a variety of administrative and operational activities associated with the full candidate to employee lifecycle.
Success in this role requires an ability to interpret and execute tasks in support of HR policies and programs, and to provide exceptional service while doing so. Care in handling employee and candidate data while ensuring accuracy and attention to detail in task execution are also core capabilities for this role.
What You’ll Do
- Independently execute well defined and documented tasks, processes and procedures in support of HR Operations and Total Rewards such as:
- Schedule complex interview loops, on a global scale
- Prepare offer/employment agreements for new and internal hires
- Initiate and monitor successful completion of the background screen verification (BGV) and work authorization
- Benefits onboarding/offboarding and changes
- Benefits /Payroll reporting
- Benefits invoice reconciliation and validation
- Bonus file preparation and validation
- Participate in annual audit support by pulling historical compensation actions or documentation
- Prepare and send job or compensation change memos using templates
- Submit employee time off requests for payroll processing
- Understand and triage sensitive issues requiring additional escalation; Proactively engage other partners to inform decisions
- Respond to, and efficiently resolve inquiries and requests from candidates, employees and managers relating to HR policies and programs, while maintaining strict confidentiality as needed
- Keep informed and updated on relevant GPE and Total Rewards policies, systems, and procedures
- Provide cover for team members as needed
Knowledge and Skills:
- Ability to independently execute well defined and documented tasks, processes and procedures
- Experience with managing incoming inquiries and requests via a global case management tool (e.g., Jira, Zendesk, Service Now)
- Strong planning, execution, coordination, and organizational skills; proficient at independently prioritizing and multi-tasking to achieve results
- Demonstrated ability to understand, interpret, and take action as defined by HR policies, programs, and procedures
- Highly collaborative and interpersonally effective; able to interact with individuals from varied backgrounds, communication styles, and positions internally and externally
- Strong oral and written communications skills, both verbal and written
- Familiarity with ATS (Greenhouse) / HRIS (Workday) systems, and other applications including slack, Google Workspace, and Zoom
- Customer service oriented
- Ability to access and utilize data across multiple tools and systems in a timely manner
- Detail orientation and dedication to accuracy
Education / Qualifications:
- Bachelor's degree preferred and/or 1 to 2 years of relevant HR or TA work experience
- Must be able to legally work in the country where this position is located without visa sponsorship
