We are looking for a full-time, permanent Tender, Offer and Contract Specialist (m/f/d) based in Europe / in the Nordics to start as soon as possible.

We are seeking a dynamic and experienced Specialist with a passion for tender, offer and contracts to join our team at Penumbra. In this role, you will be responsible for preparation, review and filing/maintaining of tender submissions, primarily contracts and other documents related to pricing, acquisition and evaluation of Penumbra’s products by hospitals and discount and transaction documentation, in particular in the framework of bids submissions.

What You'll Work On

  • As a member of the European Tender & Pricing team, operate the full tender life cycle (from RFP monitoring, over bid preparation until tender management and tracking).
  • Manage and complete tender submissions collaborating closely with the Sales and other departments to ensure a high-quality competitive bid is produced and delivered.
  • Monitor public procurement platforms for relevant RFPs.
  • Assist in tracking all relevant information about a tender in Penumbra’s databases and in providing such information to other departments where needed.
  • Make proposals for optimization of tender monitoring, bid and tender management processes.
  • Maintain and work with others to maintain comprehensive filing system and databases for contract documents including but not limited to documents related to tenders, pricing, acquisition and evaluation of Penumbra’s products by hospitals and discount, pricing and transaction documentation.
  • Maintain and work with others to maintain accurate pricing and discount information for hospital purchasers.
  • Compile, verify accuracy of and sort information according to priorities to prepare source data for computer entry.
  • Maintain contract files, including keeping track of files, performing periodic inspections to ensure general upkeep and responding to requests for files.
  • Evaluate, improve and implement department procedures and processes. Troubleshoot and resolve issues within the team.
  • What You Bring

  • University degree or similar level of education required, study of law or similar course of study preferred.
  • Strong oral/written communication, interpersonal and computation skills.
  • Excellent organizational skills, with ability to prioritize assignments while handling various projects simultaneously.
  • Proficient with Microsoft Office (Word, Excel and Power Point).
  • Proficient with database management and input.
  • Medical device industry experience helpful.
  • Proficiency in English (native speaker level) and in a nordic language e.g. Swedish or Finnish. Any additional European language is a plus.
