ADMINISTRATIVE ASSISTANT

SpaceX is looking for a driven individual to support our world class launch team at our Vandenberg Air Force Base launch site. As the site’s Administrative Assistant, you will work closely with employees, HR, and all levels of leadership, to assist in the success of this fast-paced launch facility. This role requires creativity, dedication, professionalism, and a passion for colonizing Mars!

RESPONSIBILITIES:

  • Provide project management skills and maintain momentum on high-priority projects, including but not limited to, resource planning, onboarding new department members, space planning, and strategy development for efficiencies among teams
  • Develop a deep understanding of the site to enable ability to greet and give tours to customers, interview candidates, and VIPs
  • Coordinate company events such as launch parties, company picnics, holiday parties, and community engagement efforts
  • Partner closely with the site director to manage his calendar and meetings to ensure maximum efficiency
  • Proactively engage in the site’s facilities needs to ensure a high-quality work environment – including furnishings, décor, seating charts, desk arrangements, and office amenities 
  • Exhibit a strong attention to detail, ability to adapt to dynamic schedules and routines, and a focus on efficiency without sacrificing quality
  • Manage local bank account with high level of detail and accountability
  • Independently host new hire orientation, ensuring success of employees’ integration to the team
  • Provide general administrative support for various departments as necessary to meet our goals
  • Work closely with Security and Food Services to coordinate Launch preparations at our Launch and Landing Control Center
  • Assist with Range Scheduling efforts to support launch campaigns

BASIC QUALIFICATIONS:

  • Bachelor's degree
  • 4+ years of customer service experience

PREFERRED SKILLS AND EXPERIENCE:

  • Active TS/SCI Security Clearance
  • Experience supporting a high-level executive in a fast-paced, start-up environment
  • Outstanding organization, time management, and resource management skills
  • Exceptional ability to problem-solve effectively while maintaining attention to detail
  • Possess a positive attitude and remain flexible in an ever-changing environment
  • Strong computer literacy with programs such as Microsoft Office Suite products Excel, Word, Project, and PowerPoint
  • Ability to participate in developing project scope, managing project schedules, and following up with stakeholders appropriately
  • Experience using database computer applications, like application tracking systems, purchasing systems, etc.
  • Superior written and verbal communication
  • Confident and engaging presentation style to all levels of employees and leaders
  • Experience professionally handling sensitive or confidential information

ADDITIONAL REQUIREMENTS:

  • Ability to pass Space Force background check for Vandenberg
  • Must be available to support overtime and weekend work for launch and critical project milestones
  • Must be able to lift up to 25 lbs. unassisted

  • To conform to U.S. Government space technology export regulations, including the International Traffic in Arms Regulations (ITAR) you must be a U.S. citizen, lawful permanent resident of the U.S., protected individual as defined by 8 U.S.C. 1324b(a)(3), or eligible to obtain the required authorizations from the U.S. Department of State.
