A bit about the role …

This is a part time role (4 days per week), reporting to the General Counsel and will be responsible in undertaking a variety of  tasks surrounding Legal, Governance, Risk and Compliance initiatives, and be a part of other transformational projects. 

What you will do

  • Regularly file contracts, legal documents and general records management maintenance within the Legal team drive, and other record retention initiatives in parallel with the needs of the Legal team;
  • Assist with the close-out of contract negotiations including issuing contracts for signature, follow-up for countersignature, filing of duly executed contracts and logging of contracts in team drive and/or contract management system as required;
  • Work collaboratively to continuously improve contract management policies, procedures and best practice
  • Ensure contract execution complies with internal corporate authority matrix and other delegations of authority;
  • Support in developing initiatives to increase transparency of matter intake and workflow status for the Legal team across both contracts and projects;
  • Liaise with vendor and business stakeholders in the event of trouble shooting on the contract management system.
  • Support contract owners and Legal team on operational performance of contracts and contact management, and assist in preparing relevant dashboard reports on contract performance by business area;
  • Maintain various legal team trackers including trade marks, intellectual property, litigation and training trackers with key information as provided by the Legal team, 
  • Develop regular legal reporting, insights, metrics and dashboards to General Counsel and/or other business stakeholders to ensure efficient strategic decision making occurs using data-driven insights;
  • Raise purchase orders and support in legal spend management via tracking spend trend and creating dashboard reports of legal spend by firm and matter; 
  • Draft basic legal notices in relation to contracts, under the supervision of General Counsel or Legal Counsel, where appropriate, including infringement notices.

What we are looking for

  • Bachelor’s degree in arts, commerce, law, business administration or related field preferred (or currently completing a degree in a related field);
  • Solid knowledge and understanding of contracts process, policies, systems and governance, with an interest in emerging issues in the legal and regulatory landscape;
  • Minimum of 1-3 years previous experience as Paralegal, Corporate Paralegal, Contracts Manager, Contracts Administrator, Legal Operations Professional, Legal Project Office Manager or related position
  • Experience in using, maintaining or implementing a contracts management system
  • Ability to work autonomously, be a self-starter and demonstrate initiative in a fast paced environment,
  • Excellent verbal and written communication, influencing and negotiation skills;
  • An organised, detail-oriented and highly efficient individual with great interpersonal and problem-solving skills.
