Position Summary:
This is an outstanding career opportunity for an ambitious administration professional to assist in providing operational support & accountability to a Flagship Pioneering Business Unit (PBU). The ideal candidate will have a proven track record of operational excellence, strategic thinking, and is a self-starter in a dynamic and fast-paced environment. This role reports directly to the Operating Partner and will collaborate closely with the OPM and other members of the PBU to drive efficiency of day-to-day operations, ensuring that all operational processes, reporting, and functional interactions run smoothly.
Responsibilities
- Providing complex email and calendar support and coordination for one or more executive leaders and their team(s) and their work-related meetings and day-to-day activities.
- Act as a liaison between senior leadership and external stakeholders
- Managing and making travel arrangements, accommodating frequent changes and updates as needed
- Managing and processing expense reports.
- Making recommendations to executive leaders regarding time management, prioritization, delegation, and organization.
- Organizing and planning PBU meetings and off-sites (e.g., PBU meetings and off-sites, board meetings, business development and investor interactions) by assisting with the production of materials and pre-reads, taking notes, and tracking action items.
- Providing input and/or recommendations to support executive decision making based on research and industry knowledge.
- Operating with integrity and working on various tasks with a high degree of confidentiality.
- Leading, managing, or supporting other ad-hoc projects as needed.
- Support the OPM to define agendas and prioritize the focus of the Origination team as new explorations start and others wind down; drive progress towards creating a wide and diverse set of product concepts that can be created and moved into our pipeline
- Drive agenda topics with the OPM; prepare for, facilitate, and document outcomes of team meetings, ensuring they have clear purpose and outcomes
- Contribute a basic amount of project management to Origination meetings to make sessions more productive and thinking time between sessions more productive. Get rough ideas down on paper, linking work and thinking from one meeting to the next
Project Management:
- Write presentations, translating ideas to product concept descriptions, that can we shared and ideated with other team members and discussed with the origination team (from ideas to action)
- Communicate effectively with our colleagues in the PBUs, understanding their point of view and establishing trust to enable a two-way flow of information
- Apply experience and project management best practices to effectively drive delivery and creative output; identify and monitor progress of critical path activities.
- Maintain database of external contacts, helping to expand networks and maintain connections
- Handles sensitive and confidential information in an appropriate manner without exception
- Collaborates to improve processes and procedures with a specific focus on leveraging AI
- Responsible for other duties and projects as assigned
Basic Qualifications
- Bachelor’s degree
- A minimum of 5 years administrative and/or project management experience.

- Ability to apply basic project management principles including, but not limited to, identifying critical paths, building and communicating timelines, defining milestones and methods for setting expectations and accountability.
- Background in either the tech or life science industry.
- Must have strategic mindset for applying and rapidly experimenting new AI tools that can amplify the potency of traditional startup functions.
- Energetic self-starter who strives for peak performance and faces obstacles with enthusiasm
- Open, transparent communication style and demonstrated willingness to engage in difficult conversations in a professional and productive manner
- Passion for growth and development, with clear demonstration of openness to both giving and receiving feedback and track record of acting on feedback
- Unmatched sense of grit and agility
- Proficiency with Microsoft Office including Outlook, PowerPoint, SharePoint, and Project
